2026 – 2027 Room Parent Guidelines
Thank you for volunteering to be a Room Parent for the 2025 - 2026 school year. Room Parents play an important role in Elliott classrooms and are the key to successful classroom parties and parent participation. Please refer to the following guidelines when planning classroom parties, along with input from the teacher.
Head Room Parent – One Head Room Parent per GRADE identified to:
- Serve as the main contact between classroom teachers and Room Parent Volunteers
- Work with Room Parents to assign party responsibilities
- Ensure party planning is underway and handled by the volunteers responsible for that party
- Ensure proper communication is occurring with the teachers
- Work with the teacher to contact the classroom parents to acquire the needed party supplies or monetary donations to purchase supplies.
- Confirm assigned Room Parents for each party will be able to attend. If any are unable to attend, reach out to Jenn Pykosz to work through finding a replacement. There may be a waitlist for certain parties.
- Head Room Parent can attend all class parties.
- 1-2 days before the party, drop off consolidated party supplies labeled with the teacher's name. They will be waiting for you in the classroom the day of the party.
- Serve as PTO liaison with your grade regarding other PTO activities including help encourage parent participation in PTO events.
Room Parent Volunteers:
- Contribute ideas and suggestions for your designated party
- Be responsive to communication
- Bring the item(s) you’ve volunteered to donate for the party
- If you are no longer available for your designated party, notify Head Room Parent ASAP
- Plan on actively running the party in the classroom and being helpful. This is not the time to socialize with other parents or only pay attention to your child.
- Help set up and clean up. We must leave the classroom as we found it, if not better.
- Room Parents must check in upon arrival. Earliest you will be let into the building is 1:45pm. Please bring photo i.d. Which will be scanned into Raptor system
- Be positive, be thankful, have patience, and have FUN!
Party Leader – One Room Parent per party identified to:
- Serve as lead contact during specified party
- Ensure the timing of the party is on track
- Communicate Head Room Parent’s party agenda and directions during the party
- Make sure classroom is clean and touch base with teacher before the end of party
Requirements & Selection of Room Parent volunteers:
- Current PTO Members
- Must be willing to submit identification through the Raptor system in the office for each party
- Only 4 Room Parents per party per classroom
- Parties are assigned by lottery
- Only Room Parents on the list for each party will be allowed in the classroom
Classroom Party Format:
- Classroom parties can be formatted any way the Room Parents decide in conjunction with the teacher. Typically, the parties include a craft and games, but if you have other ideas, put them out there - there is no set format.
- Space is only available for select classrooms in the hallway.
- Teachers have requested that we not over schedule the parties and keep things simple. Plan enough time to clean up at the end.
- No balloons or glitter and try not to move the furniture.
- Party Supplies will need to be consolidated & dropped off at school 1-2 days before each party.
Room Parents are responsible for three parties in the classroom:
- Halloween Party – Friday, October 30 at 2:00 p.m.
- Winter Party – Friday, December 18 at 2:00 p.m. Please do not incorporate any religious aspects or holidays. Suggested themes: Winter Wonderland, Snowmen, Gingerbread, etc.
- Valentine’s Day Party – Thursday, February 11th at 2:00 p.m.
Budget:
There is no PTO money for classroom parties. The Head Room Parent and volunteers for each party should discuss how items will be provided. The Head Room Parent will create a sign up genius with the needed supplies & then work with the teachers to send the SUG out to all the parents in the class to help donate party supplies or financial contributions to help pay for supplies.
Food:
- NEW FOR 26-27: THERE IS NO FOOD ALLOWED AT THE PARTIES THIS YEAR.
- In order to keep all our students safe, there is no longer food allowed at the party. The parties will focus on crafts, games, and fun instead of food. The parties are short and this allows more time for activities.
- This decision was made in partnership with school administration in order to ensure a safe environment for all students.
Security:
- Volunteer names for each party must be submitted by the Room Parent Coordinator (Jenn Pykosz)) to the main office. Typically, no changes will be accepted to the volunteers later than 7 days before the party.
- Volunteers should not arrive more than 15 minutes before a party and they should be sure to bring their driver’s license.
- Only Room Parents on the list for each party will be allowed in the classroom
Thank you and we look forward to a fun year!
